Privacy Policy
Short, and in plain English. Here is exactly what happens to anything you send us through this site.

The short version
- The only personal information we collect is what you type into a form on this site.
- We set no cookies, and we run no advertising trackers.
- There is no database. Your enquiry arrives as an email in our inbox.
- Want it gone? Email hello@thepolarpixel.com and we will delete it.
What we collect
Only what you give us. There are no accounts to create, no passwords, and nothing to pay for on this site.
The contact form
Your name, your email address, and whatever you write in the message.
The Get Started form
Your name and email address, which are the only required fields. Everything else is optional: your company name, your current website, roughly how many people work there, what your business does, which services you are interested in, roughly how many pages you need, what you want the site to do, a description of your project, and a phone number if you would like us to call.
If you don’t finish the Get Started form
This is the one thing people do not expect, so we want to be direct about it.
The Get Started form has three steps. If you complete the first step, which asks for your name and email, and then leave without submitting, we still receive your name, your email address, how far you got, and anything else you had already filled in. You will not get a confirmation, because you did not send anything. We may follow up to ask whether you would like to pick it up.
We do it because an unfinished enquiry is usually a real one. People get interrupted. Without this, a genuine question would simply vanish and you would hear nothing back.
If you would rather we did not keep it, email hello@thepolarpixel.com and it is gone. The same right applies here as anywhere else on this page.
Who else sees your information
Three companies help run this site. Each one only sees what it needs to do its job.

That is the complete list. No advertising networks, no data brokers, and we do not sell your information to anyone.
All three are United States companies, so your information is processed outside Canada. While it is there, it may be accessible to US authorities under their laws. We use them because they are the right tools for the job, and we mention it because you should know.
About IP addresses
Your IP address is not part of your enquiry. It is not in the email we receive, and there is no database for it to sit in. We pass it to Cloudflare purely so it can check you are not a bot.
Like every website, though, this one runs on a host, and hosts keep standard server logs that include IP addresses for a limited period they set. That is ordinary web hosting rather than something extra we have switched on.
How long we keep it
As long as we need it to reply to you and to keep sensible business records, and no longer than that serves a purpose.
We have deliberately not set an arbitrary deadline, because we would rather not promise something we cannot verify. There is no database quietly holding your details: your enquiry is an email, and it stays in our inbox until someone deletes it. If you would like that to be today, see below.
Deleting your information, and your rights
Email hello@thepolarpixel.com and ask. We will delete your enquiry and confirm when it is done. You do not need to explain why.
Under Canadian privacy law (PIPEDA) you can also:
- ask what personal information we hold about you
- ask us to correct it if it is wrong
- withdraw your consent at any time
- complain to the Office of the Privacy Commissioner of Canada if you think we have got it wrong

Cookies and local storage
We set no cookies. Not one.
Our analytics come from Vercel and are cookieless. They count page views without building a profile of you or following you around other websites.
The Get Started form saves your place in your own browser: which step you reached, and a signed token carrying your name and email. That way an accidental reload does not send you back to the beginning. It does not keep the answers you gave on the later steps.
That copy lives in your browser’s session storage, it is cleared as soon as you close the tab, and we never receive it.
Your name and email do reach our server the moment you finish step one, because that is when we check you are not a bot and issue that token. Nothing is stored there. Your answers to the later steps only reach us when you submit the form, or if you leave after step one, as described above.
Cloudflare may use its own storage, on its own domain, to run the bot check. That part is theirs rather than ours.
Keeping it safe
Your submission travels to us encrypted, and the email it becomes sits in a mailbox protected by the usual account security. We keep the number of places your information lives deliberately small: one inbox, and no database.
We should be honest that no method of sending information over the internet, or of storing it anywhere, is completely secure.
Changes to this policy
If we change it, we will post the new version here and update the effective date at the top of the page. If a change is significant, we will not apply it retroactively to information you sent us under an earlier version.
